JOB TITLE: Specialist - Federal and State Compliance  

                                                           

REPORTS TO: Federal and State Compliance Coordinator

 

WAGE: Non-exempt

 

PAYGRADE: Para 7

 

PRIMARY PURPOSE:

 

The Federal and State Compliance Specialist performs diversified and complex duties. This position requires use of individual judgment and knowledge of federal, state, district policies and procedures. Provides support to the Federal and State Compliance Department, organizes and manages the routine work activities of the department; including a thorough understanding of processing campus and district purchase requisitions, extra duty pay process and knowledge of allowable Federal and State expenditures. Assists the department to ensure all campuses are compliant in the timely collection and coding of all special program required data including program participation, exit and monitoring to prepare for any state reporting submissions.

QUALIFICATIONS:

  Required:

  • High School Graduate or GED from an accredited institution
  • Three years job related experience

 Preferred:

  • 60+ hours from an accredited college or university
  • Five years’ data entry or secretarial experience, preferably with executive offices in a public education environment.

 

 SPECIAL KNOWLEDGE/SKILLS:

 

  • Proficient skills in word processing, typing, file maintenance, calculator and basic math, and software programs such as Google docs, Word, PowerPoint, Excel, Eduphoria, eSchool and eFinance.
  • Ability to access websites and data via computer
  • Prepare and maintain accurate records
  • Strong organizational and time management skills
  • Knowledge of district organization, operations, policies, and regulations
  • Effective oral and written communication skills

MAJOR RESPONSIBILITIES AND DUTIES:

  • Review extra duty pay forms for accuracy and compliance
  • Assist in the purchase requisition process flow for all federal grants at the district and campus level to ensure timely purchases and payments.
  • Contact vendors for quotes and work with them on price increases and product availability.
  • Assist with processing contracts for district and campus use
  • Maintain an inventory of the ESSA purchases made for the Private Non-Profit schools within our district boundaries
  • Assist in verification process of state reporting of special populations
  • Communicate with the data staff of other schools and districts regarding records and reports
  • Maintain department filing system of all federal and state grants
  • Perform all other duties as assigned.

 

 WORKING/SPECIAL CONDITIONS:

 

The usual and customary methods of performing this job require the following: ability to work in a fast-paced, high-intensity work environment efficiently and effectively with frequent interruptions. Job may require prolonged periods of time sitting, reaching and repetitive hand motions; prolonged use of computer. Overtime is required as necessary.
