JOB TITLE: Registration Clerk

PRIMARY PURPOSE:
The Registration Clerk will prepare, monitor and maintain student data accuracy regarding records, student registration, and proper coding to ensure compliance with State and District laws and policies.

QUALIFICATIONS:
Required:
- High School Graduate or GED from an accredited institution
Preferred:
- Three+ years secondary school setting experience
- Associate’s Degree or higher from an accredited college or university
SPECIAL KNOWLEDGE/SKILLS:
- Computer proficiency and effective office managerial skills
- Effective communication, interpersonal and data entry skills
- Effective file maintenance skills
- Knowledge of state and federal accountability standards for secondary schools
- Knowledge of Student Attendance Accounting Handbook and PEIMS Data Standards
- Proficiency in use of computer software with emphasis on Microsoft Excel
- Strong organizational and people skills
MAJOR RESPONSIBILITIES AND DUTIES:
- Backup and support campus attendance personnel and attendance initiatives
- Collaborate with other district campuses for the transfer of student data
- Complete transcript requests (TREX) within State required timeline
- Coordinate PEIMS-related enrollment/withdrawal data
- Create an effective filing system with labels for each student folder
- Enroll students who are new or transferring to the district
- Maintain confidentiality of information
- Maintain enrollment, withdrawal and leaver data plus physical and computerized files
- Maintain proper student records for easy future retrieval
- Meet weekly with ADA clerk, counselors and administration on cross-campus collaboration topics, including newly enrolled students and withdrawn students
- Monitor and update student data for PEIMS reporting
- Participate in staff development and faculty meetings as assigned
- Prepare and maintain records required by federal, state and local laws/regulations
- Prepare documents to communicate information to staff, parents, students and district personnel regarding enrollment and registration
- Provide an organized working environment so that data is secure and not for public viewing
- Receive, maintain, and deliver cumulative folders to/from feeder pattern schools
- Register new students and verify eligibility by validating all documents according to district, state and federal guidelines
- Remain updated on local, State and federal policies regarding enrollment
- Remain updated on secondary student state and federal accountability standards
- Report data needed for weekly Non-Instructional Data Quality Team meetings
- Support the administration on the enrollment needed for the Master Schedule
- Utilization of the Texas Records Exchange (TREX) system for incoming and outgoing records of students
- Verifying enrollment and grade level status (reviewing all pertinent documents required for enrollment/registration)
- Withdraw students to other schools when students leave and maintain destination

The usual and customary methods of performing this job require the following:
Job may require prolonged periods of time sitting, moderate standing, stooping, bending, reaching and repetitive hand motions; prolonged use of computer. Ability to maintain emotional control under stress. May require some lifting no more than 10lbs. Overtime is required as necessary.
